What this article helps you decide
- Which jobs deserve the next available machine slot.
- How to accept a rush order without hiding the impact on other customers.
- Why inspection, outside processing, and tooling belong in the schedule.
- Where Odoo supports job shop planning and where specialist scheduling rules need more work.
- Which delivery measures reveal whether the schedule is becoming more reliable.
Job shop scheduling software plans job-specific operations against available production capacity. It helps planners coordinate machine time, material readiness, operation sequences, and dispatch deadlines. When those records stay current, the shop can identify a threatened delivery date before the customer calls.
Picture a subcontract machine shop with a CNC mill, turning centers, a fitting bench, and shared inspection equipment. Its orders include pump components, repair plates, and one-off tooling. Each job takes a different route, so counting total machine hours tells only part of the story.
The scheduling decision begins with the work still needed before dispatch. This article follows that decision through a small, worked example.
Three customer promises and one five-hour window
Assume a CNC mill has an available window from 08:00 to 13:00 on Monday. The rest of its day is unavailable. Three ready jobs are competing for that window, and their mill times already include setup and cleanup.
| Job | Mill time required | Downstream work and dispatch deadline |
| A custom die insert | 3 hours | 1 hour of final inspection; dispatch by Tuesday 14:00 |
| B pump flange batch | 2 hours | 1 hour of final inspection; dispatch by Monday 16:00 |
| C urgent repair plate | 1.5 hours | 2 hours of bench fitting and release checks; dispatch by Monday 14:00 |
Assume the required people, fixtures, approved programs, and materials are ready. The bench and inspection slots described below are available. Job A needs an uninterrupted milling operation; splitting it across days is not approved.
Putting A first uses 08:00 to 11:00. B can then occupy the final two hours, but C cannot enter the mill that day. The machine looks fully loaded while the urgent delivery becomes impossible under these assumptions.
A workable alternative puts C on the mill from 08:00 to 09:30. Its bench work then finishes at 11:30. B runs from 09:30 to 11:30, followed by inspection until 12:30.
That leaves a 1.5-hour gap before the mill closes. A needs three uninterrupted hours, so it starts Tuesday at 08:00 and finishes at 11:00. Inspection ends at 12:00, leaving two hours before its dispatch deadline.
This example shows what job shop scheduling software should help a planner evaluate. All three jobs need 6.5 mill hours, and Monday has only five. The practical decision is which work can move while protecting every dispatch deadline.
The gap can still take another suitable job if it does not disrupt the required resources. It should not be filled by starting work that cannot safely continue. The example is illustrative, not a customer result or a claim that Odoo automatically selects this sequence.
Build the route back from the shipping promise
In a job shop, “machining complete” and “ready to ship” are different milestones. Final inspection, deburring, marking, documentation, and packing may still remain. A delivery promise needs room for those activities.
Start with the agreed customer milestone. If the promise means arrival at the customer’s premises, allow for transit as well. The worked example uses internal dispatch deadlines, so it does not establish customer arrival times.
Job shop scheduling software should retain the operations that consume meaningful capacity. In a precision machining business, a coordinate measuring machine, or CMM, may be as important as a mill. In a fabrication shop, the constraint may be welding, powder coating, or final assembly.
Toolrooms face the same issue when an insert needs hard milling, EDM, fitting, and trial approval. A mold repair date is unreliable if the planner reserves machining time but leaves the trial press unconfirmed.
Keep planning durations honest
Record setup separately from the run-time basis where the workflow supports it. A ten-piece batch does not necessarily take twice as long as a five-piece batch because setup may remain unchanged. Equally, a repeat job may need fresh proving after a revision.
Odoo’s work center configuration includes working hours, setup and cleanup time, product capacities, and alternative work centers. These provide a useful planning foundation. Confirm the duration calculation for the actual product, operation, and quantity.
Do not substitute the quoted machine-hour allowance for an operation estimate without checking it. A commercial estimate may include contingency or margin assumptions that do not describe the expected execution time.
Release ready jobs rather than the whole order book
A confirmed order can still lack material, a fixture, an approved drawing, or a usable CNC program. Loading it onto tomorrow’s machine schedule does not remove those obstacles. It can instead force the supervisor to find replacement work during the shift.
Define the release decision around the next operation. Material in stock may belong to another job. A fixture may be physically present but already reserved. A drawing may exist while its latest revision remains unapproved.
For job shop scheduling software, this is an important boundary between demand and executable work. Show both views, but make the dispatch list clear about what is actually ready.
Odoo’s Shop Floor overview describes work center views filtered by readiness and preceding-operation completion. Job-specific release conditions still need verification. Do not assume a standard readiness indicator also checks every program, gauge, fixture, and drawing requirement.
Separate a lead-time estimate from a capacity check
Odoo’s lead-time documentation states that manufacturing lead times use calendar days and do not account for work center capacity. A configured lead time is therefore not, by itself, evidence that a new job fits the loaded shop.
Use job shop scheduling software to examine the required operations against the actual calendar. Before confirming a date, identify the capacity being used, the readiness assumptions, and any outside-process commitments.
Make the rush-order tradeoff visible
When sales asks for an urgent repair plate, the useful response is a changed schedule with consequences. Identify which operations move, which promises remain safe, and where a delivery becomes exposed. Then agree on the decision.
Preserve a short near-term period that operators can rely on. Define who may interrupt it and under what circumstances. Repeatedly changing work that is already set up can consume the capacity the schedule was supposed to protect.
Job shop scheduling software should also support a clear handover after the decision. The planner, supervisor, purchasing team, and customer-facing staff need the same current priority. An updated planning view is ineffective if the operator continues from yesterday’s printed list.
Keep technical waiting time when rescheduling
Odoo documents work order dependencies and rescheduling options, including choices about retaining or using gaps between linked operations. That matters when a gap represents a real process requirement rather than accidental waiting.
A coating cure period or required cooling interval must remain in the route. Compressing it to make a delivery date look achievable does not create usable capacity. Test the chosen rescheduling behavior with the shop’s actual dependencies.
Put outside processing and substitute machines on the same promise
Heat treatment, anodizing, plating, and specialist grinding can dominate the lead time of a small job. Their transport, batch cutoffs, supplier queue, and return inspection belong in the delivery review.
Odoo provides documented subcontracting workflows. Map the outside operation carefully to the chosen product and subcontracting structure. Do not assume that drawing an external work center automatically reserves the supplier’s capacity.
Job shop scheduling software needs a current expected return date, an owner for confirmation, and a response when that date slips. A historical supplier lead time helps estimate; a confirmed slot supports the current promise.
A second machine must be an approved alternative
Two mills are not interchangeable merely because both have spare hours. Travel, workholding, tooling, postprocessor, accuracy, and operator capability can affect whether the job can move. Record the approved alternative and its expected duration.
Odoo documents work center time off and alternative planning. Use that foundation where appropriate, then verify the technical restrictions. Listing allowed employees does not by itself prove that a scarce operator cannot be double-booked across machines.
Where Odoo strengthens job shop scheduling software
A schedule depends on records outside the planning board. Purchasing knows whether the material will arrive. Engineering controls the instruction. The operator knows whether the previous operation finished, and dispatch knows what can actually leave.
Odoo brings Manufacturing into a connected business system with Sales, Purchase, Inventory, Quality, and related applications. That is the basis of our preference for evaluating Odoo in a job shop. It gives the implementation a route to connect a delivery decision with the records supporting it.
| Job shop need | Odoo foundation | What the implementation must prove |
| Different routes for different jobs | Manufacturing orders, BoM operations, and work orders | Efficient setup of one-off and revised jobs |
| Machine loading | Work centers, calendars, capacities, and alternatives | Realistic durations and approved machine choices |
| Ordered operations | Work order dependencies and planning views | Correct sequencing and required waiting periods |
| Current shop status | Shop Floor execution and time recording | Timely reporting, partial completion, and exceptions |
| Delivery coordination | Connected sales, purchasing, stock, and manufacturing | Reliable release rules and end-to-end date ownership |
At Apagen, we can map the job routes and delivery controls before scoping the configuration and extensions. The proposal should show how the whole workflow will operate, including responsibilities after go live. Explore our Odoo implementation services for the wider delivery approach.
An Odoo demo should include a rush job, an unavailable machine, and a delayed outside operation. Review what changes in the plan and which customer dates become at risk. Ask for the proposed standard functions and additional logic to be identified separately.
Complex shops may need advanced planning and scheduling, or APS, alongside the ERP. Simultaneous machine, operator, and fixture constraints, sequence-dependent setups, or global schedule optimization require explicit evaluation. Odoo’s connected workflow is a practical advantage, but it does not establish every specialist scheduling rule.
Measure delivery reliability without moving the target
Keep the original promised date, the current agreed date, and the latest forecast distinct. If every late order receives a new promise before reporting, the on-time figure can improve while customers experience the same delays.
Job shop scheduling software should support that history through an agreed field and change process. Report performance against the original promise alongside performance against approved revisions. Include overdue, undelivered orders in the relevant due-date review.
Also separate on-time dispatch from on-time customer receipt. Define how partial shipments count. Management should know which event the percentage measures before using it to judge the scheduling project.
Two operating measures help explain delivery performance: whether the next operation started as planned, and why ready work waited. Review causes such as missing material, unavailable inspection, inaccurate estimates, or priority changes. That creates a basis for improving the next schedule.
Frequently asked questions
What makes job shop scheduling different from normal production planning
Job shops handle varied routes, small batches, shared machines, and frequent changes. Job shop scheduling software plans individual operations through those constraints. A total weekly production quantity cannot show whether a specific job can pass through machining, outside treatment, and inspection before dispatch.
Can Odoo support a machine shop where almost every order is different
Odoo provides manufacturing orders, operations, work centers, and execution records. Demonstrate how the proposed setup creates and revises one-off job routes without excessive administration. Customer drawings, engineering release, estimating, and CNC program links may need additional configuration or integration.
Will the software find the best sequence automatically
That depends on the scheduling engine and the rules implemented. Operation dependencies and calendar planning are different from optimizing every job across multiple constraints. Ask the provider to demonstrate the required tradeoffs rather than assuming that a visual planning board performs global optimization.
Can we insert an urgent job without delaying another customer
Sometimes. Check the bottleneck, readiness, downstream work, and remaining buffer on affected orders. The worked example moves a later-due insert to Tuesday while protecting Monday dispatches. In a fuller shop, the same request may require overtime, an approved alternative, subcontracting, or a revised promise.
How should we schedule heat treatment or plating outside the factory
Include supplier confirmation, outbound transport, processing, return transport, and any return inspection in the delivery plan. Assign ownership of the expected return date. Configure the subcontracting structure and test how a delay reaches the affected job and customer forecast.
Can we split a batch to ship some parts earlier
Only if the route, quality requirements, and commercial agreement allow it. Check extra setups, traceability, inspection, and the remaining quantity. Smaller transfer batches can help downstream work start earlier, but splitting should not invent machine capacity or hide unfinished demand.
What should we prepare before replacing our scheduling spreadsheet
Prepare open jobs, remaining operations, realistic durations, machine calendars, readiness blockers, and dispatch deadlines. Add outside-process commitments and approved alternatives. Reconcile what is already in progress so migration does not schedule completed work again.
Bring the difficult delivery promise to Apagen
Choose a job that needs several shared resources and one outside operation. Bring its current route, remaining quantities, material status, and promised date. In an Odoo demo with Apagen, we can use it to review the scheduling workflow and identify the controls the implementation needs.
If you are evaluating job shop scheduling software, that is a useful place to start. The result should explain which work can run next, what must move, and whether the customer promise still holds.
